III. Business or Official Letters

In a good business letter, the point should be completely clear. Such words should be used so that the reader does not have to resort to the dictionary.

The letter should be as brief as possible. In today’s busy era, the businessman does not have much time. To avoid unnecessary correspondence, complete things should be written so that the author’s point of view can be clear. It should not happen that the reader has to write a letter asking what the author wants or the information that the letter writer wanted to give/take is incomplete and the letter has to be written again and there is unnecessary delay.

  1. The address of the firm to which the letter is written is written on the left hand side. If a letter is written to any person, then before the name Mr. Or Shri is written. M/s or Messers is written before the name of the firm. In a good business letter, briefly the subject about which the letter is being written is given.
  2. Dear Sirs is written for the firm and Dear Sir for individuals.
  3. In response to a letter, the reference of that letter is given along with the date and Ref of your letter for future correspondence. No. can be given. So that if the letter is answered, then it can be known to which letter the answer is.
  4. Finish the letter with Your faithfully and signed. Before the name of the firm, write For and write the name and designation of the signatory.

The setting of such letters should be as follows.

1. The letter writer’s address should be written on the top left side of the first page.

3. Salutation Its place is on the left side of the first page of the letter, slightly below the date. There are several types of speeches:
